The Race Secretary plays a vital role in ensuring the successful planning, administration, and execution of sailing events at Naval Point Club Lyttelton. This position supports the Race Officer and race management team by coordinating race entries, managing results, facilitating communication with competitors, and ensuring races are conducted under Yachting New Zealand standards and the Racing Rules of Sailing.
The Race Secretary acts as a central point of contact for competitors and is key to maintaining the integrity and smooth operation of club racing and regattas.
Key Responsibilities
Entry Management
Receive and process race and regatta entries.
Maintain the official list of competitors.
Coordinate the collection of entry fees and required documentation.
Results Management
Ensure accurate, timely collation and publication of race results.
Prepare and distribute official results sheets.
Maintain historical race records.
Competitor Communication
Act as the primary liaison for competitor queries.
Provide race instructions, course information, and rule clarifications.
Keep competitors informed of schedule changes, safety updates, and protest outcomes.
Race Management Support
Assist the Race Officer with course planning, race timing, and documentation.
Help coordinate the race team and volunteers for each event.
Support logistical planning before and during race days.
Protest and Dispute Handling
Manage protest submissions and maintain protest logs.
Facilitate protest hearings in line with the Racing Rules of Sailing.
Help ensure fair and consistent application of rules.
Compliance and Risk Management
Ensure all racing activities align with Yachting New Zealand regulations and club policies.
Identify and assist in managing risks associated with race operations.
Required Skills and Attributes
Organisational Ability: Competence in managing registrations, documentation, and time-sensitive processes under pressure.
Effective Communicator: Clear and confident verbal and written communication, especially when working with competitors and officials.
Rules Knowledge: Solid understanding of the Racing Rules of Sailing (RRS) and familiarity with club sailing instructions.
Problem-Solving Mindset: Calm and proactive approach to handling issues such as protests, late entries, or logistical changes.
Collaborative Attitude: Ability to work closely with the Race Officer, race committee, and other volunteers to deliver seamless events.
Time Management: Ability to plan, prioritise, and meet deadlines—particularly critical on race days.
Desirable Qualifications (not mandatory)
Previous experience in race administration or club sailing roles.
Familiarity with sailing management software (e.g., Sailwave, TopYacht).
Yachting New Zealand Race Management training or certifications.
