Our charity has been going thru some growing pains and would appreciate the support of a capable administrator. We need more hands on deck.

Can you help us achieve our Vision that every person with Myalgic Encephalomyelitis /Chronic Fatigue Syndrome (ME/CFS) in Canterbury and the West Coast lives the best quality of life possible?

Key tasks:
These tasks are shared with a current volunteer, so you don't have to do them all!

  • Respond to queries from our members and members of the public via phone calls and emails, providing approved information.
  • Send out welcome packs to new members.
  • Prepare and send out emails to our members about our upcoming events and our newsletters, using our Member Management System, Infoodle.
  • Manage our library of books and resources.
  • Monitor office supplies and reorder as required.
  • Assist the Manager, Chairperson and staff members with developing and maintaining our documents in SharePoint.
  • Process referrals for our Work and Income Advocacy and Registered Nurse teams.
  • Prepare our two-monthly newsletter from curated information (using Word and Canva).
  • Assist with advertising our group events.
  • Post out donated items sold on TradeMe by a volunteer.
  • Assist our fundraising efforts.

Place of work:

  • Ideally some hours need to be completed in our office at 71 Orbell St, Sydenham, each week.
  • Other hours can be completed at home.

Did you know?
ME/CFS is a serious long-term illness that researchers are finding involves an abnormal physiological response to exercise, altered immune function, and impaired energy production. There is a fluctuating spectrum of symptom severity, with many people being house-bound, and the most severely affected are bed-bound. Most people with ME/CFS are socially isolated, are unable to work, and do not have access to adequate financial, home and mobility supports through the welfare and health systems.

People with ME/CFS, Myalgic Encephalomyelitis /Chronic Fatigue Syndrome experience symptoms that make it difficult to research, plan and work through applications for financial support (e.g. cognitive dysfunction (brain fog); Post-Exertional Malaise (PEM) – a worsening of symptoms after mental or physical energy that can last for days or more; orthostatic intolerance (symptoms worsen when standing or sitting upright).

Requirements:

ESSENTIAL:

  • Alignment with the values of MECFS Canterbury: Compassion, Respect, Equity, Patient-centred, Collaboration.
  • Ability to display empathy for people with chronic illness and their whanau
  • Qualifications,experience or capability relevant to office administration.
  • Familiar with cloud documents and folders, either Google Drive or SharePoint (or willing to learn).
  • Intermediate level proficiency with Word, Outlook and Excel.
  • A good level of English language skills and an ability to communicate clearly in writing.
  • Good time management and organisational skills, and able to work without close supervision.
  • Warm and calm manner.
  • An ability to work well within a team (in-person and remotely thru Chat apps and emails).

DESIRABLE:

  • An understanding of ME/CFS or a similar chronic disabling condition is an advantage.
  • Familiarity with Canva.com for creating images for social media (or willing to learn).

A Ministry of Justice background check is required for this role.

Time commitment:

Estimated at up to 8 hours per week, dependent on what time you have available. We would require emails and phone messages to be checked every weekday, but this could be rostered with others.

We would appreciate hearing from volunteers who would be available for a minimum of six months, as induction and support can take a while because the role is quite varied.
