The Hāpai Foundation is a Christchurch-based Charitable Trust established to support people with disabilities. Our mission is to support and oversee initiatives that bring about positive change for disabled people throughout New Zealand. Our Board of Trustees has recently grown and so we now have the need for a secretary with organising as a superpower and a flair for funding applications.
The Role
Meeting Arrangements: Assist the Trust Board Chair with scheduling and organising board meetings, which are generally held on the second Tuesday of each month.
Minutes and Agendas: Prepare and distribute agendas, take minutes during meetings, and ensure timely distribution to board members.
Funding Applications: Assist with the preparation and submission of funding applications to secure financial support for the Foundation.
Record Keeping: Maintain accurate records of meeting minutes, bylaws, policies, and other important documents.
Communication: Act as a liaison between the board chair, Hapai Foundation trustees and project managers, ensuring effective communication.
Compliance: Ensure the Foundation complies with legal requirements, including filing Charities Commission Reports and funding reconciliations, and maintaining all other required records.
We don't require specific qualifications for this role, but here are the skills and attributes that you will need:
Strong organizational skills.
Excellent written and verbal communication skills.
Attention to detail.
Ability to prioritize tasks and manage time effectively.
Experience with funding applications is a plus.
A commitment to, and a clear understanding of, the mission of the organization.
In addition, you will need a drivers license (either full or restricted) and access to your own transport. Whilst parts of this role can be completed remotely, you must attend our monthly meeting in person, so we require you to live in, or within easy travelling distance of, Christchurch.
The Trustees meet once a month on the 2nd Tuesday at 4:30pm - 6:00pm and you must be available to attend this meeting located in Wigram. In addition, there will be up to 4 hours each week of administration and funding duties which can be completed remotely if desired.
